This policy explains what personal information we collect when you use this website or contact us, why we collect it, who sees it and the rights you have. Our use of your personal information is governed by the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Central Security Chauffeurs is a London-based provider of security chauffeuring, close protection, residential security and concierge services. We are the data controller for the personal information described here. This means we decide how and why it is used.
Our registered company name, company number and registered office address are available on request.
Details of our registration with the Information Commissioner’s Office (ICO) are available on request.
What this policy covers
This policy covers personal information we collect through this website, through the enquiry form, and when you contact us by phone, email or WhatsApp. If you become a client, we will give you any further information that applies to the services we provide to you.
The information we collect
When you send an enquiry through the website
The enquiry form asks for:
- the service you are interested in
- the date you have in mind
- the number of passengers
- the location or pickup point
- your name
- your phone number
- your email address
- any message you choose to add
You do not have to give us any of this information. We need your name and email address to reply to an enquiry sent through the form. The other details are optional, but they help us prepare an accurate quote.
The message field is free text. Please share only what we need to respond. Avoid including health details, information about a specific security risk or other sensitive information in the form. If we need details of that kind to plan a service, we will agree a suitable way for you to share them.
When you call, email or message us
If you contact us by phone, email or WhatsApp, we receive your name, your contact details and whatever you choose to tell us. We may keep a note of a call so that we can follow up accurately.
Information about other people
You may enquire on behalf of someone else, such as an employer, a principal, a family member or a guest. If you share their details with us, please make sure they know you are doing so and that they can read this policy.
When you visit the website
Like any web server, the server that hosts this website receives technical information each time your browser requests a page. This includes your IP address, your browser type, the page requested and the time of the request. It is used to deliver the website, keep it secure and diagnose faults.
We do not use cookies, analytics or advertising trackers. Our cookie policy explains this in more detail.
How we use your information
We use the information you give us to:
- respond to your enquiry
- prepare a quote
- plan and arrange the services you ask for
- keep a record of our communications with you
We use technical website data to run the website, keep it secure and investigate misuse.
We do not sell your personal information. We do not use your enquiry details to send you marketing.
We do not make decisions about you based solely on automated processing.
Our lawful bases
Data protection law requires us to have a lawful basis for each use of your information. We rely on three.
- Steps before entering into a contract. When you ask us for a quote or ask us to arrange a service, we use your details to take the steps you have requested before any agreement is made (Article 6(1)(b) UK GDPR).
- Legitimate interests. We have a legitimate interest in responding to enquiries made on behalf of someone else, keeping accurate records of our communications and keeping the website secure (Article 6(1)(f) UK GDPR). We rely on this only where your rights and interests do not override ours.
- Legal obligation. Where the law requires us to keep or disclose information, for example tax records or a lawful request from the police or a regulator, we do so to meet that obligation (Article 6(1)(c) UK GDPR).
If we ever need your consent for a particular use, we will ask for it clearly. You can withdraw consent at any time.
Who we share your information with
We share your information only where we need to. The organisations involved are set out below.
Website hosting
This website is hosted by Vercel. Vercel processes technical data about visits on our behalf so that it can deliver the website to you.
Enquiry form handling
Enquiries sent through the form are passed to us by a form-handling provider. It processes them on our behalf and only under our instructions.
Our business email is provided by a third-party email provider, which stores messages on our behalf.
Images
Some images on this website are currently loaded from the Unsplash image service at images.unsplash.com. When your browser requests an image, Unsplash receives your IP address and standard browser information, as happens with any web request. We do not send Unsplash any other information about you.
Fonts
Fonts are hosted with the website itself, so no third-party font service receives your details.
If you contact us on WhatsApp, your messages pass through a service operated by Meta. Meta handles information about your use of WhatsApp under its own terms and privacy policy, which we do not control.
Our team
If you go ahead with a service, we share the details needed to deliver it with the members of our team assigned to it.
Where the law requires it
We may disclose your information where the law requires us to, for example to the police or a regulator. We may also do so to establish, exercise or defend legal claims.
International transfers
Some of our providers are based outside the UK, including in the United States, or may access information from there. Where your information is transferred outside the UK, we make sure a recognised safeguard is in place. This may be a UK adequacy decision, such as the UK extension to the EU-US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.
How long we keep your information
If your enquiry does not lead to an engagement, we keep it only for as long as we need to pick up the conversation if you come back to us and to answer any questions about how we handled your enquiry. After that, we delete it or anonymise it.
If you become a client, we keep the records we need to deliver the service and to meet our legal and tax obligations. We will tell you how long we keep those records when we agree the service.
Technical server logs are kept by our hosting provider for a limited period under its own settings.
You can ask us to delete an enquiry sooner. See your rights below.
How we protect your information
The website is served over an encrypted connection (HTTPS). Access to enquiries is limited to the people who need them to respond to you or arrange your service. We treat every enquiry as confidential.
No method of sending information over the internet is completely secure. If your enquiry is sensitive, you may prefer to call us.
Your rights
Under UK data protection law, you have the right to:
- Access. Ask for a copy of the personal information we hold about you.
- Rectification. Ask us to correct information that is inaccurate or incomplete.
- Erasure. Ask us to delete your information.
- Restriction. Ask us to limit how we use your information.
- Portability. Ask us to provide the information you gave us in a structured, commonly used, machine-readable format, or to send it to another organisation.
- Objection. Object to our use of your information where we rely on legitimate interests.
Some of these rights apply only in certain circumstances. If a right does not apply to your request, we will explain why.
To use any of these rights, contact us using the details below. We may ask you to confirm your identity first. We will respond within one month. If your request is complex, we may extend this by up to two further months and will tell you why. There is normally no fee.
How to complain
If you are unhappy with how we have handled your information, please tell us first so that we can try to put it right.
You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection:
- Website: ico.org.uk
- Helpline: 0303 123 1113
Children
This website is not aimed at children. We do not knowingly collect personal information directly from children through it. Where a service involves a child, we deal with the parent, guardian or adult making the arrangements.
Changes to this policy
We will update this policy when the way we handle personal information changes, for example if we add a new service provider. The date at the top of this page shows when it was last updated.
